Responsible for answering telephones, routing calls, taking messages and providing appropriate information, in a prompt and courteous manner. Provides excellent customer service. Responsible for functions related to reception duties, appointments, and telephones. Greets and welcomes Guests and visitors efficiently.

- Provides excellent customer service at all times, to internal and external customers.
Reception
- Phone management - attending switchboard, placing, screening, re-routing, prioritizing, follow-up calls, open and close switchboard.
- Maintain conference room schedule book, and corporate sign-out log.
- Receive incoming, send outgoing faxes - log and distribute.
- Send and distribute faxes, maintenance requests, front office supplies.
- Weigh and stamp all U.S. outgoing mail;
- Distribute mail to, assign mail boxes;
- Prepare Federal Express mailings, UPS, Registered/Certified mail, order front office supplies, etc.;
- Monitor and maintain postage machine, order supplies, reset postage meter, maintain postage usage log, prepare monthly postage report;
- Pick up and deliver U.S. mail to and from mailbox;
- Train administrative support staff on switchboard for receptionist relief.
- Prepare monthly receptionist relief schedule and distribute.
- Lock office front doors at 5 p.m., turn off coffee maker, program telephone answer machine for night service.
Clerical Support
- Miscellaneous typing - envelopes, forms, labels, etc.
- Photocopying as required.
- Maintain copy machine - supplies, and maintenance calls.
- Prepare monthly maintenance for front office machines, copiers, etc.
- Prepare, maintain and distribute corporate telephone list and directory.
- Oversee the employee lunch lounge, order supplies.
- Maintain administrative forms, update as necessary.
- Provide other administrative/clerical duties as required.
- Two years experience preferred.
- High School diploma or equivalent.
